I run a specialist marketing agency for UK law firms. I’m looking for ONE exceptional person to own my admin, numbers, and content distribution so I can focus on growth. You will OWN:

Finance & controls

Help keep bookkeeping up to date (coding transactions, reconciling, preparing reports for accountant).
Track all client invoices, chase late payments, and maintain a live cash‑in forecast.
Maintain a live register of all software / licences, cancel waste, and flag renewal dates.
Build and update a simple weekly founder dashboard: cash, expected cash‑in, key KPIs.

Ops & admin

Inbox management: triage, label, draft replies, keep things moving without me chasing.
Calendar and time protection: schedule, reschedule, defend focus blocks, and say “no/not now” where appropriate.
Daily to‑do / priority list for me, based on company goals and constraints.
Document and maintain SOPs for all recurring admin / finance processes.
Prepare agendas and take structured notes for key meetings; track and chase actions.
Organise travel and event logistics when needed.
Light HR admin: keep staff records and basic onboarding checklists tidy and current.
Keep CRM and key client data clean and up to date.

Content distribution

Upload and schedule provided video content to YouTube & Instagram.
Apply consistent titles, descriptions, tags, thumbnails, and formatting based on clear guidelines.
Maintain a simple content calendar and ensure nothing is missed.
Track basic performance stats in a shared sheet (views, posts live, dates).

You are:

Obsessively reliable and discreet. You do what you say, when you say, and keep confidences.
Strong with numbers and spreadsheets.
Excellent written English (our clients are conservative UK law firms).
Systems‑minded: you naturally create checklists and process docs.
Comfortable learning tools (G Suite, basic bookkeeping tools, social platforms, simple CRMs).

Non‑negotiables:

2+ years as EA/ops VA/finance admin.
Real experience managing inbox+calendar for a busy founder/exec.
Comfort with basic bookkeeping and spreadsheets.
Comfortable working UK business hours.
